Terms and Conditions

By booking a walking tour with Kimito Nara Travel, Co., Ltd., you agree to be bound by these Terms and Conditions. Please read them carefully before making your reservation.

1. Bookings and Reservations

Online Bookings

Reservations can be made through our official website at www.tours2nara. Online bookings are available 24/7 and require completion of our booking form with accurate personal and contact information.

In-Person Bookings

Walk-in reservations are accepted at the tour meeting points. Subject to availability, same-day bookings may be possible but are not guaranteed.

All bookings are subject to availability and confirmation by Kimito Nara Travel, Co., Ltd. We reserve the right to decline any booking request at our sole discretion.

2. Payment

Accepted Payment Methods

We accept the following forms of payment:

- Major credit cards (Visa, MasterCard, American Express, Discover)

- Debit cards

- Cash (for in-person bookings only)

- Digital payment platforms (PayPal, Apple Pay, Google Pay)

Payment Terms

A full payment is required at the time of booking.

Confirmation and Documentation

Upon successful booking, you will receive a confirmation email or message containing:

- Your unique reservation number

- Tour details and meeting information

- Invoice

- Terms and conditions

Failed Payment Processing

If a debit card transaction fails, a service fee of $XX will be charged to your account. You will be notified immediately and given 48 hours to provide alternative payment. Failure to resolve payment issues may result in cancellation of your reservation.

3. Changes and Cancellations by the Company

Tour Guide Illness or Unavailability

If a scheduled tour guide becomes ill or unavailable, we will make every effort to provide a qualified substitute guide. If no substitute is available, we will offer you the following options:

- Reschedule to the next available date at no additional cost

- Full refund of all payments made

Weather-Related Cancellations

Tours may be cancelled due to severe weather conditions that pose safety risks, including but not limited to thunderstorms, snow, ice, or extreme temperatures. In such cases, you will be offered:

- Rescheduling to the next available date with favorable weather

- Full refund of all payments

Force Majeure

We reserve the right to cancel tours due to circumstances beyond our control, including natural disasters, government restrictions, public health emergencies, or other force majeure events. Full refunds will be provided for cancellations due to force majeure.

4. Changes and Cancellations by the Customer

Cancellation Policy

All cancellation fees are calculated based on Japan Standard Time (JST). Refunds, minus applicable cancellation fees, will be processed using your original form of payment within 5-10 business days.  In some cases, it may take up to two billing cycles for the refund to be fully processed and appear on the statement.

Cancellation Fee Schedule:

Until 11 Days Before: Free cancellation (no fee)

10 to 8 Days Before: 20% cancellation fee

7 to 2 Days Before: 30% cancellation fee

1 Day Before:50% cancellation fee

On the Day of the Tour or No Show: 100% cancellation fee (no refund)

Cancellation of Bookings by Customer

To cancel a tour, use the dedicated cancellation link in your booking confirmation email.  Unfortunately, cancellations made via email or directly with the third party tour provider cannot be processed on www.tour2nara.com.  Please contact directly to the tour operation who books your tour.

Modification of Bookings by Customer

Simply cancel your original booking and rebooked for your preferred tour dates, times, or group size.  Your refund will be processed according to our cancellation policy. 

5. Limitation of Liability

Kimito Nara Travel Co., Ltd. and its employees, guides, and representatives shall not be liable for any injury, loss, damage, accident, delay, or irregularity that may occur during or as a result of the tour. This includes but is not limited to:

- Personal injury or death

- Loss or damage to personal property

- Indirect, consequential, or incidental damages

- Damages resulting from weather conditions, traffic delays, or other circumstances beyond our control

Participants join tours at their own risk and are responsible for their own safety and well-being. Our maximum liability is limited to the total amount paid for the tour.

6. Customer Special Requests

Accessibility Accommodations

Please inform us of any accessibility requirements at the time of booking so we can assess our ability to provide appropriate accommodations.

Our tour involves a fair amount of walking.  It is not recommended for guests who have difficulty walking for the duration of the tour.

Wheelchair or Stroller

Our tours are not generally recommended for guests with wheelchairs or stroller, as some locations or walking paths are not accessible.

Dietary Restrictions

If your tour includes food tastings or meals, please notify us of any dietary restrictions, allergies, or special requirements during booking. We will make reasonable efforts to accommodate these needs but cannot guarantee availability of suitable alternatives.

7. Safety

Participant Responsibilities

All participants must:

- Follow the instructions of tour guides at all times

- Wear appropriate clothing and footwear for walking tours

- Remain with the group and not wander off independently

- Report any injuries or medical emergencies immediately

- Inform us of any medical conditions that may affect participation

Company Safety Measures

We maintain comprehensive safety protocols including:

- Regular safety training for all tour guides

- Emergency contact procedures

- Risk assessment of all tour routes

- Weather monitoring and safety protocols

Medical Emergencies

In case of medical emergency, we will provide immediate assistance and contact emergency services if necessary. Participants are responsible for their own medical expenses and travel insurance.

8. Behavior and Code of Conduct

Expected Behavior

All participants are expected to:

- Treat guides, staff, and other participants with respect and courtesy

- Follow local laws and regulations

- Respect cultural sites, monuments, and private property

- Arrive punctually for tours

- Not engage in disruptive, offensive, or illegal behavior

Alcohol and Substance Policy

Participants who appear intoxicated or under the influence of substances will be denied service without refund. Alcohol consumption during tours is prohibited unless specifically included as part of the tour experience.

Removal from Tour

We reserve the right to remove any participant who:

- Behaves inappropriately or disruptively

- Fails to follow guide instructions

- Poses a safety risk to themselves or others

- Engages in illegal activities

No refund will be provided for participants removed from tours due to misconduct.

9. Complaints

Filing Complaints

If you are dissatisfied with any aspect of your tour experience, please:

  • Notify your tour guide immediately during the tour
  • Contact our office within 48 hours of the tour completion
  • Submit a written complaint to ayuda@kimitonaratravel.com
  • Include your reservation number and specific details of the issue

Resolution Process

We are committed to resolving all complaints promptly and fairly. Our customer service team will:

- Acknowledge receipt of your complaint within 72 hours

- Investigate the matter thoroughly

- Provide a written response within 21 business days

- Offer appropriate remedies when warranted

10. Data Protection

Information Collection

We collect and process personal information necessary for booking and providing tour services.   Please refer to our Privacy Policy for the details - www.tour2nara.com/privacy

- Name, contact information, and payment details

- Special requirements or accessibility needs

- Emergency contact information

- Marketing preferences

Data Usage

Your personal information is used solely for:

- Processing bookings and providing tour services

11. Publicity and Image Use Rights

Photography and Video

KimitoNara Travel Co., Ltd. may take photographs and/or video recordings during tours for documentation and marketing purposes. By participating in our tours, you grant us the irrevocable right to use, reproduce, modify, distribute, and display any images or recordings in which you appear, including but not limited to:

• Website content and social media posts

• Marketing materials and advertisements

• Promotional brochures and flyers

• Company publications and press releases

Ownership Rights

All photographs and video recordings taken by KimitoNara Travel Co., Ltd. staff, guides, or representatives during tours are the exclusive property of KimitoNara Travel Co., Ltd. Participants waive any claims to compensation or royalties for the use of their likeness in company materials.

Opt-Out Policy

If you do not wish to be photographed or filmed during your tour, please notify your guide at the beginning of the tour. We will make reasonable efforts to exclude you from any photography or video recording.

12. Email Communications Policy

Communication Consent

By booking a tour with KimitoNara Travel Co., Ltd., you agree to receive email communications from us regarding:

• Booking confirmations and tour-related information

• Pre-tour instructions and meeting details

• Post-tour follow-up and feedback requests

• Company updates and service announcements

• Special offers, promotions, and new tour offerings

• Seasonal newsletters and travel tips

Email Preferences

You may update your email preferences or unsubscribe from marketing communications at any time by:

• Clicking the “unsubscribe” link in any marketing email

Please note that you cannot opt out of essential service-related communications such as booking confirmations, safety updates, or tour cancellation notices.
